The Board of Trustees of the Adams Free Library met on Thursday, January 16,2020. The meeting was held in the library with the following members present: President Betsy Roberts, Treasurer Liz Ryder, Wilson Rusho, Vice President Mary Chatterton and Paula Sullivan. Library director, Samantha Morgan was also present. Secretary Cheryl Clark came late into the meeting. President Betsy Roberts called the meeting to order at 6:30 pm.
Secretary’s report- A motion to approve the minutes was made by Mary Chatteron and seconded by Wilson Rusho. Motion was carried unanimously.
Treasurer’s report- Reviewed the treasurer’s report with no questions. Motion made to accept the report by Paula Sullivan and seconded by Mary Chatterton. Passed unanimously.
Treasurer noted $86.42 was spent on gift cards for employees. $139.92 wsa spent on give away bags, etc. for the holiday activities.
The director and officers insurance was paid $1038.38. The 4th quarter payroll taxes for NYS were paid $150.60. The federal quarterly taxes were also paid $1204.16. The w-2’s are done and filed. Employees have them. Liz received a memo that our taxes in June 2019 hadn’t been filed. Liz had copies of what she had filed so she resent them. They had changed addresses. Payments had been made online so it was just a report that was missing. It’s all set now.
Liz spoke with Mr. Engel from Advanced Business Systems to set up the codes for the black and white and color copies. Different codes will be used for the employees and the patrons so we can track them better. There is also a code for the WIFI but no code needed for faxes. Sam will call to remind him to come set these codes up asap.
2019 overall net income $9422.36. This was up from 2018 which was $6803.27. Annual report is going to be done soon. Samantha is going to NCLS to work on it this week.
NCLS came and changed the codes for the cost of printing so color printing is now .75 per copy. No complaints from anyone so far.
December 31,2019 the company came and started working on the mold/water problems in the basement.
DVD’s- Samantha noted that charges to borrow DVD’s are “frowned” upon by NCLS. We will continue to charge $1.00 per DVD as it is working well for us.
Battle of the Books- There will be a grades 4-6 competition on March 28th in the library and the firehall. It is a local battle to try and get in the regional battle on May 2nd.
Substitute- Jennifer Bunker came in and trained so can substitute at the library if needed.
Survey- Samantha created a survey for library usage. She will have copies made of the survey by Advanced Business systems to have the public fill out and they will be available at the library, the Rohde Center, the bank, etc. around town.
Volunteer Policy- Samantha used examples to create a volunteer policy and application for the library to use since we did not have anything specifically for this.
Liz Ryder made a motion for us to ask Adv. Business Systems to print 100 surveys for us and to make a final draft of the volunteer guidelines/policy and application. Wilson Rusho seconded the motion and it passed unanimously.
Rubik's Cube Seminar Saturday, January 18, 2020 from 10-12 by Pricilla King’s son.
Donation of curtain rod and curtains to cover the maker space area was made by Priscilla King’s parents. A thank you note will be sent.

March Emergency Meeting
The Board of Trustees of the Adams Free Library had an emergency meeting on Monday, March 16, 2020. The meeting was held in the library with the following members present: President Betsy Roberts, Treasurer Liz Ryder, Wilson Rusho, Vice President Mary Chatterton, Denise Brownell and Paula Sullivan. Library director, Samantha Morgan and assistant, Priscilla King were also present. President Betsy Roberts called the meeting to order at 6:30 pm.
Secretary’s report- Due to the short notice of the meeting, we did not have the January minutes copied for review.
Treasurer’s report- Reviewed the treasurer’s report with no questions. Motion made to accept the report by Mary Chatterton and seconded by Wilson Rusho. Passed unanimously.
Treasurer noted that half of our Jefferson County funding has come in. $2304.00
Treasurer, Liz, contacted Bill Griffith about our current situation with the pandemic to see if anything qualifies for assistance.
Director reported that we had a very busy day today as people called to see if we were open and then came in.
We passed a resolution to close the library until further notice, agreed that all fees for overdue materials will be waived during this time, will leave our WIFI as is and not make it public all of the time, will continue to pay our employees and passed a pandemic policy. Wilson made the motion to pass the resolutions and Paula seconded. Passed unanimously.
It was discussed that the director and assistant will continue to work and will keep track of things they do such as cleaning, organizing, creating programs, etc.
Director will email NCLS to inform them of our closure.
